Age-restricted sales Optional #
Stop an underage sale at the till
Individual items can carry a minimum age, prompting the clerk at the point the item is added, alongside the dedicated cigarette and liquor sales options.
More in Serialised & Age-Restricted Stock is part of Serialised & Age-Restricted Stock in Windward System Five. System Five includes 30 documented capabilities here — 20 in the standard set and 10 optional. Trades that lean on it include RV Dealers, Powersports Sales Service & Rental, Outdoor Power Equipment.
These 30 capabilities sit within System Five's 1287-capability documented set — a selection, not a ceiling.
Stop an underage sale at the till
Individual items can carry a minimum age, prompting the clerk at the point the item is added, alongside the dedicated cigarette and liquor sales options.
Refuse an underage sale automatically
A minimum age is held on the inventory item, and adding that item prompts for the customer's date of birth or a driver's licence swipe. The system calculates the age and refuses the line if the customer is underage, and manual entry of a birth date can be disabled so a licence must be scanned.
Take in a hundred serials without typing each
For large receipts of sequentially numbered goods, entering the first serial number and a quantity auto-fills the end of the range and generates every serial number in between, copying default unit information that can still be edited per unit.
Sell age-restricted goods within the rules
A dedicated integration category for cigarette and liquor sales programs and services.
Match the format the agency demands
Supplied XSL style sheets populate the fields required by the January 2007 MULTICAT requirements, including ship-to customer class of trade, customer product promotion acceptance identifier, and measure code and value pairs, and can be customised per business.
Clean up duplicate serial numbers
Merges duplicate serial numbers under fixed precedence rules — customer units merge into inventory units, out-of-stock into in-stock, and older into newer by unit unique number — and blocks merging a unit with a non-unit, flagging the row and explaining why.
Keep serial numbers unique across the business
A setup option decides whether a serial number must be unique across the entire inventory database or may repeat on different parts, so businesses with per-supplier numbering schemes are not blocked.
File the state tobacco return
A built-in report for tobacco retailers in Florida that outputs seller and retailer details plus monthly sales totals by product category in the form the state Department of Revenue expects.
Trace one serial from purchase to sale
The Serial Number Details window shows the purchase order, supplier bill, invoice, special-order customer, costs, location, department and quantity for a single serial in one place.
Clear serial numbers still held on invoices
Lists invoices and items carrying a hold serial number, with the invoice status as a header line and the selected serial numbers shown as a hovering comment. Editing the invoice from the report turns the line green once the hold is cleared.
Sell now and record the serial later
When an item is sold before the physical unit is chosen — appliances shipped from a warehouse, for example — the sale can proceed and the serial is recorded afterwards, with a report of every outstanding one.
Trace a bad lot to every buyer
Finds every invoice containing a given lot number, including lots inside a kit, with a case-insensitive partial search, filtered by customer, department, part and date range. Double-clicking a row opens the customer, the invoice or the part, or emails the customer directly.
Stop an underage sale at the till
The scanned licence displays the customer's age on screen, and a configurable minimum driver licence age setting raises a verification prompt when a restricted sale is rung.
Report tobacco sales as the law requires
System Five includes Master Settlement Agreement tobacco reporting for retailers who must report tobacco sales.
File the cigarette program report on time
Exports sales data in the MULTICAT format used by Management Science Associates' iDT software for US cigarette programs, selectable by date range, by customer or all customers, and by chosen inventory sub-categories. Output is an XML-driven report rendered to an HTML document with part summary and customer or invoice summary sections covering both ship-to and bill-to.
Map your categories to the agency ones
Setup captures general company information, primary contact details, an MSA category map and extra settings, pointing at a local report folder, and is switched on with a single Use Multicat option. Underlying SQL query fields are exposed but not intended for casual editing.
Turn the report into the agency file
A second script converts the human-readable MULTICAT report output into the agency transfer format, and is documented as a template that can be adapted to produce virtually any required output format. The report must always be run before the export.
Show clerks today's legal birth date
A touchscreen button caption can be built from date formulas that calculate and display the latest legal birth date for an alcohol purchase, updating itself daily, with separate formulas for the age 21 and age 19 thresholds.
Track stock by lot number
Select Lots behave like serials but each lot number can carry any quantity, are received by naming the purchase order line, and a lot can contain a range of serial numbers.
Sell and trace stock by lot
Lot-controlled stock is sold one lot per invoice line, with the quantity capped at the lot balance and an automatic warning to split additional lots onto separate lines. Lots held on work orders and layaways are recorded as reservations against those documents.
Count serialised units and kits correctly
Serial numbered items and kits follow their own counting treatment within a physical count so tracked units and assembled goods reconcile correctly.
Prove every serial is where it should be
Finds serial numbers that should not be in stock and removes them, finds serials that should be in stock and adds them, and lists serials received against a purchase order more than once.
Capture serials without holding up the sale
Serialised items can force the quantity to match the serials entered, or allow the quantity to be sold now and the serials attached later, with outstanding lines flagged in blue. Serials can be scanned directly into the selection window and found again by number within a long invoice.
Keep the same serial when goods come back
Returned merchandise goes back into stock carrying its original assigned serial number rather than a new one.
Track every unit by its serial number
Serialised items carry a serial number per unit through receiving, sale and return, each with its own description, cost and status, viewed as Available, Sold/On Hold, Hold Serials or Serial History.
Know which serial went to which customer
Serialised tracking can be switched on per business, with a secondary barcode against each serial for manufacturers whose barcode differs from the serial. Serial entry can be forced to match the quantity sold, or deferred — an appliance dealer can invoice 24 apartments' worth of appliances now and record serials when the warehouse ships. Serials can be generated automatically on receiving with a prefix, padding and starting number.
Scan serials as you send machines out
Scanning a serial number into the item field increments the transfer quantity by one. The serial number detail window filters the item's available serials and can also show sold serials, with scanned numbers collected on a Selected tab before being pulled into the transfer.
Prove every serial is on the shelf
Serialised items are counted by ticking individual serial numbers, adding a serialised item to a batch auto-loads all serials for that item and location, and blank or duplicate serials raise warnings both in the serial popup and when the batch is processed.
Stop the same serial appearing twice
A setting makes serial numbers unique across the whole inventory file, so the same serial cannot be attached to more than one item record.
Prove when a customer bought this unit
Serial numbers captured on a sale are stored for warranty purposes and can be recalled later, giving immediate access to warranty records at the counter.
