System Five on Cloud · Purchasing & Replenishment

Receiving

Receiving is part of Purchasing & Replenishment in Windward System Five. System Five includes 7 documented capabilities here — 6 in the standard set and 1 optional.

These 7 capabilities sit within System Five's 1287-capability documented set — a selection, not a ceiling.

Optional

Editing completed purchase orders Optional #

Fix a receipt after the real invoice arrives

A completed PO can be reopened to update costs on already-received items, increase or decrease received quantity, and revise extra, freight and duty. Reducing quantity below what remains in stock increases the item's oversold figure rather than silently failing.

Partial receiving with back orders Optional #

Receive a short shipment without losing the rest

Receiving a PO means selecting it and keying quantities received; short-shipped lines can be left On Order for later or cleared to close the order. Multiple receipts against one PO on the same day appear under separate tabs labelled with the packing slip reference.

Quick Receive wizard Optional #

Turn a supplier invoice into stock fast

A wizard that takes a supplier's invoice — supplier, bill number, bill total and currency — and creates the purchase order, receives the parts to stock or onto existing work orders, and raises the supplier bill in one pass. It also adds G/L code lines and GST per line or per order.

Receiving Against a Purchase Order Optional #

Check the delivery matches the order

Received quantities are entered against the original order, serial numbers are prompted for serialized items at the point of receipt, and short shipments raise a back order decision. A duplicate serial number can be received as long as it is not currently in stock.

Receiving report for unordered stock Optional #

Take in stock that arrived without an order

A receiving report adds stock that arrived without a purchase order — an unexpected delivery, or the two extra units on an order of ten you decide to keep. It behaves like a PO receipt except the received quantity populates the ordered quantity.

Receiving Without a Purchase Order Optional #

Take in stock that arrived unordered

A New Receiving Report takes stock in when no order exists, used for unexpected shipments and for entering opening quantities before go-live, including extra and shipping costs for landed cost.

Shipment listing across multiple POs Optional — Unclear #

Receive one container of many orders

Shipments group items from several purchase orders so they can be managed and received together, with configurable shipment header and detail statuses, and the outstanding POs behind them showing what is still back-ordered. A shipment cannot be deleted once received detail lines exist.
