Payments is part of Money & The Close in Windward System Five.
System Five includes 11 documented capabilities here —
9 in the standard set and 2 optional.
Trades that lean on it include RV Dealers, Powersports Sales Service & Rental, Party & Equipment Rental Businesses.
These 11 capabilities sit within System Five's 1287-capability documented set — a selection, not a ceiling.
Optional
Batched cheque printing
Optional
#
Print all the cheques in one go
Cheques can be created at any time and queued, then printed together with consecutive numbers, individually deselected, printed per department, and reported as a batched cheque list with payee, bill, cheque number, date, amount and running balance.
Cheque entry wizard
Optional
#
Pay supplier bills without missing any
For a chosen supplier the wizard lists outstanding bills and lets you pay all, pay up to a set amount, or type amounts against individual bills, then creates the cheque and offers to print it.
Cheque runs by bills due
Optional
#
Run this week's supplier payments in one pass
A cheque run over a supplier name range lists all outstanding bills and the cheques the system proposes, with select-all and per-bill control, then creates them into the print batch and prints a run report totalling the cheques.
Consignment and floor plan settlement
Optional
#
Pay the consignor only for what sold
Where consignment or floor planning is used, the cheque screen lists prior sales from that supplier that were on consignment so settlement is paid against what actually sold.
Controlled unpost and void
Optional
#
Stop staff quietly changing posted payments
A posted cheque can only be altered after it is unposted in supervisor override mode; unposted cheques show yellow so they are visibly not affecting the bank. Bills carrying billed consignment or floor plan items cannot be deleted at all, and a supervisor override of that rule is written to the error log.
EFT supplier payment export
Region-specific
#
Pay suppliers straight from a bank file
With EFT enabled, the batch list can be filtered to EFT suppliers, a source bank chosen, and a payment file exported with date, description and reference. The file format follows the country — a text file in Canada, the standard ABA format in Australia — and Australian EFT account numbers accept 10 characters.
Finance company payments
Optional
#
Handle a sale the finance company funds
Payments funded by a finance company are taken on a dedicated F-type invoice; the money lands in cash clearing like any other tender while the offsetting entry sits in a liability account for what you now owe the finance company.
Hand-written and posted-only cheques
Optional
#
Record the cheque I wrote by hand
Cheques can be posted without printing for cheques written by hand, with the system prompting for the number actually used, and a report of the bills paid by that cheque can be printed separately.
NSF Cheque Handling
Optional
#
Put a bounced cheque back on account
Reverses a bounced customer payment by reinstating the amount as accounts receivable and removing it from the bank account, while leaving the original invoice and payment records untouched for audit and tax.
Payment listings and payment schedules
Optional
#
See every payment taken and still due
The List of A/R Payments reports payments in a date range with detail, zero payments, R-type invoices, or only deposits and payments taken on work orders and layaways. The Scheduled Payment Report shows invoice balances with the number of scheduled payments and how many remain.
Received on account and credit application
Optional
#
Take a payment at the counter safely
Payments can be applied directly against invoices, or taken at the counter as an ROA invoice by a clerk without A/R authority and applied to invoices later by the bookkeeper; a separate routine applies outstanding A/R credits.
Every capability on this page is documented in the System Five capability index.
