Allowance-Driven Coupons and Add-Ons Optional — Unclear #
Drop a coupon on qualifying sales automatically
Sell through allowance records can attach add-on parts so a qualifying sale automatically drops a coupon or a bonus product onto the invoice.
More in Promotions & Selling is part of Promotions & Selling in Windward System Five. System Five includes 27 documented capabilities here — 12 in the standard set and 15 optional. Trades that lean on it include Hardware & Lumber Stores, Plumbing Supply, Lighting Showrooms.
These 27 capabilities sit within System Five's 1287-capability documented set — a selection, not a ceiling.
Drop a coupon on qualifying sales automatically
Sell through allowance records can attach add-on parts so a qualifying sale automatically drops a coupon or a bonus product onto the invoice.
Number gift cards without duplicates
The system can sequence certificate numbers automatically from the last number used, verifying that the next number is unused up to ten times before reporting an error, and can auto-create the matching card number range where one is missing.
Set card numbers that never clash
Number ranges are defined for barcodes and magnetic stripe cards separately, with a starting digit, fixed length, tender type, edit mask and check-sum setting, and deliberately kept clear of ranges used by credit and debit cards or by product barcodes.
Give club members a number to group by
Each participating customer is given an all-numeric club number, held in the customer's extra information field or free-form field 1, which is what the club report groups by.
Work out each member rebate for the year
The report lists every club customer with their report total and club payment, covers A/R, work order, back order and cash invoices, shows the days each invoice took to pay, and includes invoices that missed the deadline with no payment shown. An only-show-new filter prevents double-awarding, and drilling down opens the underlying customer or invoice.
Text customers when their job is ready
Alerts, notifications and marketing messages are sent to individual customers or groups through a messaging account, with a configurable opt-out phrase, opt-out keyword and sender code. Documentation flags that Canadian privacy law requires customer-initiated opt-in, not verbal consent.
Keep card value safe in the system
Card value is tracked in the System Five database and no balance information is written to the card itself; only the gift number is stored on a magnetic stripe, a barcode or a printed certificate.
Pick what the customer actually gets
Rewards can be a percentage discount, a percentage discount from list price, a fixed dollar discount on the line, a fixed sale price for the item, or a switch of the whole invoice to a nominated price schedule.
Hand out a dollar-off coupon that scans
A fixed dollar coupon is built as a non-stocking inventory item with a negative fixed price that a cashier adds to any invoice as a credit. The item is held non-taxable and carries the same value on every price level.
Skip the loyalty card altogether
The driver licence itself can be swiped to retrieve the customer account during a transaction, removing the need for a separate loyalty card.
Let the customer pick their free item
The reward can be a free item chosen by the customer from a list the retailer defines; free products are added to the reward grid by part lookup or by scanning the item's barcode. The clerk is prompted to pick the reward and the free line is added to the invoice.
See every gift card transaction
Reports every card transaction over a date and time range, filterable to a single card number, with options to include declined transactions (shown greyed with declined in the balance column) and voids (which appear as the original plus the void transaction, potentially in different date ranges). Operations are typed as issue, reload or sale.
Design a gift card that looks like yours
A dedicated label designer builds card and certificate templates carrying a Code 128 barcode of the card number, the card number, the remaining balance, the transaction amount, date and time, the authorisation number and the operation type. The default label prints automatically at the end of an invoice if not already printed.
Print gift certificates on your own printer
Certificates are printed in-house on a label printer or slip printer, with the retailer controlling the number scheme; printing can be triggered when a certificate is issued and again when it is redeemed with a balance remaining.
Make the swipe reader work
Swipe options cover keyboard wedge magnetic stripe readers and allow cards that carry no track 1 data, which is typical of gift cards and some debit cards.
Keep past invoices honest
Once a promotion has been used on an invoice it can no longer be deleted, preserving the integrity of the invoice record. Promotions may still be edited or deactivated.
Reward customers who pay on time
A club program awards points calculated as a percentage of the parts total on invoices that were paid in full within a defined number of days, run for a chosen date range. Labour and tax are excluded from the calculation.
See every customer's points by branch
Customer promotion point balances are held against the customer record in each dataset and are reported by location, so head office can list every customer's points balance alongside department, name and account number.
Decide how customers earn points
Points can be awarded as a flat number per qualifying purchase, as a percentage of the item or invoice subtotal dollar value, or as a percentage of the gross profit dollars on the item. A customer name must be on the invoice for points to accumulate.
Let customers spend points at the counter
When a customer has enough points, adding the item to the invoice prompts the clerk to redeem once at the end of the invoice. Where several redemption offers qualify, the one requiring the most points is prompted first and no further prompting follows acceptance.
Turn points into a gift card
A gift certificate promotion lets accumulated points be redeemed for a System Five gift card or certificate, using a dedicated gift card category, a gift card part priced at the card value, and a discount part for the certificate discount.
Set campaigns to start and stop themselves
Each promotion carries a promo code, a start and end date, an optional tracking barcode and an active flag, so campaigns can be built in advance and switch themselves on and off.
Build the offer you want to run
Every promotion pairs a promotion rule (the trigger) with a reward rule (the payoff); the two are mixed and matched, and the trigger chosen dictates which rewards are offered. Items are grouped into a promotion and all items in that group contribute toward the reward.
Aim the offer at the right stock
Each promotion names the inventory it covers on dedicated tabs — individual parts, or every item belonging to a chosen supplier, brand or category — or can be set to apply to all invoices regardless of contents.
Post discounts where accounting can see them
A promotion discount can be applied as a direct price adjustment, posted to a nominated ledger code, or written as a separate discount part line on the invoice. The discount-part method is the documented recommendation for coupons and dollar discounts.
Print the right gift card receipt
Where a slip printer replaces barcode labels, editable customer-copy and merchant-copy receipt templates use placeholder tokens for transaction type, invoice, date, time, till, card number, amount, balance, result and authorisation.
Set up card parts without stock warnings
Cards can be set up either as normal stock-controlled parts with a quantity on hand for externally purchased card stock, or as miscellaneous parts whose cost is 100 percent of selling price for reloads and in-house certificates. Both methods stop the oversell prompt appearing at the till.
