System Five on Cloud · The Counter

More in The Counter

More in The Counter is part of The Counter in Windward System Five. System Five includes 131 documented capabilities here — 89 in the standard set and 42 optional. Trades that lean on it include Plumbing Supply, Auto & Truck Parts Sales & Service, Hardware & Lumber Stores.

These 131 capabilities sit within System Five's 1287-capability documented set — a selection, not a ceiling.

Optional

Account Customer Requirement for On-Account Payment Optional #

Tie deposits to the customer's account

Received-on-account invoicing is available only to customers set up as account customers, tying layaway and deposit balances to the customer's receivable record.

Address Verification On Card-Not-Present Sales Optional #

Check the card address on phone orders

When a card is keyed rather than swiped and a customer with a billing address is attached to the invoice, the street address and postal code are sent to the processor and a full, partial, no-match or unavailable result is shown on the authorisation screen.

Allowances and job linkage Optional #

Track what the builder's allowance covers

Contractor sales carry allowances and separate extra allowances, link to a job record or create one, take payment from the ship-to customer for charges beyond the allowance, and show the parts versus labour breakdown with delivery dates and confirmations.

Automatic customer pricing Optional #

Give each customer their agreed price

Price schedules, schedule exceptions and contract prices attached to the customer are applied automatically as items are added, with manual override still permitted and a per-item minimum price acting as the floor.

Automatic Price Determination Optional #

Charge the right price without thinking

The retail price on a line is calculated from several possible scenarios, including regular price, automatic customer discounts, sale prices with start and end dates, and quantity discounts.

Automatic shop supplies charge Optional #

Recover shop supplies on every job

Shop supplies are added to an invoice as a percentage of the labour on it, with optional minimum and maximum dollar values, either on prompt or automatically, recalculating when labour changes unless a clerk has overridden it. A wizard creates the category, ledger account and part in one step.

Back order handling Optional #

Keep track of what customers still want

Shortfalls are back ordered from the sale, and the transaction can display all back orders for the account, for a named contact or for a ship-to, and pull selected ones onto the current invoice when stock arrives.

Back Orders Report Optional #

Fill the orders customers are waiting on

Lists customer back orders where ordered quantity exceeds shipped quantity, then fills every back order it has stock for in sort order, creating or updating work orders on an Invoices tab, and queues the still-needed quantities so they can be placed on a new purchase order.

Batch order completion and emailing Optional #

Close out the day's orders in one go

Shippable work orders can be selected in bulk, converted to charge invoices, authorised through integrated card processing and emailed to customers, with a nominated invoice form for completed orders and a different one for cancelled orders. The email subject line is templated with the invoice number substituted in, and the PDF can be attached.

Buy and Sell Currency Transactions Optional #

Run a currency exchange counter

The till can run a currency exchange counter, buying or selling a fixed amount of one currency for another, showing the rate and the calculated service charge on the tender screen before completion.

Buy and Sell on One Invoice Optional #

Buy in a used item and sell on one ticket

A single transaction can both purchase a used item from a customer and sell them something else, settling the difference in cash or to account.

Calculated Touchscreen Button Captions Optional #

Make till buttons update themselves daily

Touchscreen button captions accept date formulas that offset the current date by months or years, so a button's label recalculates itself every day rather than being hard-coded.

Card Amount Verification Threshold Optional #

Ask for ID on big card sales

A configurable dollar ceiling triggers an on-screen cardholder verification prompt when a card transaction exceeds it, set to match the merchant agreement.

Card Number Masking on Receipts Optional #

Keep card numbers off printed receipts

Customer copies mask the card number and expiry automatically, and the merchant copy can be set to mask as well, show only the last four digits, or print in full.

Card receipt layouts per copy Optional #

Print the right card slip per copy

Customer copy, merchant copy, gift card customer and merchant copies, and debit customer and merchant copies each have their own editable receipt layout, defined inside the card processor's setup screen.

Card reloading Optional #

Top up a card the customer already has

An issued card can be reloaded with additional value from the invoice screen using a separate non-stock-controlled part number, so the same physical card is reissued rather than a new one purchased.

Card-not-present controls Optional #

Take phone and web card orders safely

Address Verification Service and card security code entry are supported for mail order, telephone order and internet sales, with the card security code handled as a card-not-present fraud control rather than stored data.

Cards on file and pre-authorisation Optional #

Charge a saved card for a phone order

Cards saved against the customer record or captured on earlier sales can be authorised or pre-authorised as card-not-present, with CVV entry to confirm the customer holds the card.

Cash Drawer by Tender Type Optional #

Open the drawer only for cash tenders

Each terminal chooses which tender types pop the drawer, so cash, debit, gift and cheque can open it while card sales do not. Manual no-sale opening is set per terminal and per user security, and the override password is held only by technical support.

Cash rounding for penniless currencies Region-specific #

Round cash properly where pennies are gone

Cash tenders can be rounded to the nearest 5, 10 or 25 cents through a dedicated rounding part on the invoice, with an option to always round down, while cheque, credit and debit tenders are unaffected. Re-editing the invoice zeroes the line so adjustments never stack.

Cheque verification and recovery Optional #

Take cheques without getting burned

Cheques are validated against national cheque databases in under three seconds at the point of sale, backed by a recovery programme that reimburses the merchant the full face value of every cheque collected, charges the merchant no monthly fee, and pursues writers through skip tracing and electronic re-presentment.

Clerk and technician capture Optional #

Know who sold it and who fixed it

The system can ask for a clerk number, or a clerk password, when an invoice is created or edited, with supervisor override, which also determines whether reports attribute the sale to the clerk on the invoice or the person logged in. Adding a labour line can pop up the technician, pull their rate from their user record, and record start and end times in a time log that fills actual hours against billed hours, with rounding rules and supervisor override.

Clerk-Controlled AVS Decision Optional #

Decide yourself whether to take the card

An AVS mismatch does not automatically decline the sale; the authorisation stands and the clerk decides whether to accept it or void it, so legitimate international and partial-match orders are not lost.

Configurable Contactless Tap Limit Optional #

Set how much a customer can tap for

Merchants set the maximum value that can be taken as a tap, allowing limits above the traditional 150 dollar ceiling in line with current card brand rules.

Configurable Exchange Service Charges Optional #

Charge a fee for changing money

Service charge is calculated per currency, per tender type and by direction of trade, as a flat fee, a percentage, or both.

Configurable Invoice Type Library Optional #

Control which documents the till can raise

A library of pre-built invoice types (for different selling scenarios) can be switched on and arranged in an invoice tree using drag and drop, controlling which document types cashiers can raise at the till.

Configurable price schedule set Optional #

Price the way your trade talks

The number of price schedules is set anywhere between 2 and 99, defaulting to 13, each individually named for how the business actually talks about them, and each optionally tied to its own currency for multi-currency selling.

Configurable tender types Optional #

Take every kind of payment you accept

Up to 26 tender types can be defined. Eight are reserved for cash, cheque, check, debit, Visa, MasterCard, American Express and Discover — renameable and individually switchable — and the rest are free for whatever else the business takes, including foreign currency tenders.

Contactless Pinpad Range Optional #

Check your pinpad supports contactless

Contactless is supported on Ingenico Telium and TETRA series devices, the Verifone P400 and compatible VX 805 pinpads, subject to firmware level.

Contractor and lighting allowances Optional #

Track a builder's allowance against their picks

An allowance amount is recorded against the invoice — a contractor allows a set sum for the lighting in a house — and the system tallies the client's selections against it and tells the clerk what is payable over the allowance, taking payment on the overage and posting it to a clearing account. Labour can be included or excluded from the allowance, a job can be made mandatory, pricing is held when tag-along kit items are swapped, and the tab itself can be renamed to suit the trade.

Controlled gift card voiding Optional #

Undo a gift card sold in error

Deleting the gift card line from an invoice opens a void screen pre-filled with the card number and amount so the card can be released and reissued; a card that has already been spent cannot be voided, and a security setting can block voiding once the invoice is completed.

Customer and supplier data hygiene Optional #

Tidy up messy customer records

Splits a combined city field into city, country and state, sets tax areas from country and state or from the customer's tax number, merges accounts, rebuilds the phone lookup index, and deletes accounts selected by lookup word — but only accounts with no activity.

Customer back order visibility Optional #

Tell a customer what is still owed

Open back orders — where quantity ordered exceeds quantity shipped, excluding special orders — are listed on the customer record and on a back order report.

Customer back orders on the item Optional #

See who is waiting on this part

With back orders enabled, the item lists every invoice holding a back order for it with customer, ordered, shipped and back-ordered quantities, opening the invoice on double click.

Customer part number administration Optional #

Order under the part number your customer uses

Customer part numbers, their ship-to and their bin location are maintained in bulk — listed and filtered by customer, ship-to or part, imported from a file, and deleted en masse. The bin location prints on pick lists and slips so an order is staged where that customer's shipper expects it.

Customer part numbers and bin locations Optional #

Quote parts using the customer's numbers

Each customer-and-part combination can carry the customer's own part number and their bin location, printed on invoices and slip printers, linked to a ship-to, copied from another customer, and loadable in bulk from a data file.

Customer price exceptions by category and supplier Optional #

Give a customer a deal on one range

On top of a customer's base schedule, exceptions can be set for a whole category — a tyre buyer priced better on tyres — or for everything from a given supplier, and both can be used together. Exceptions only apply where the exception schedule is a better one than the customer's base.

Customer pricing inside the search Optional #

Quote the customer price while searching

Choosing a customer in Part Find shows that customer's price schedule in the results grid in green where it differs from list, and a sale can be started straight from View Item with the customer attached.

Default customers and required fields Optional #

Get customer details right at signup

More than one default customer template can be defined — for example account and cash-only — and staff are prompted to choose when adding a customer. Individual fields can be made mandatory, or set to warn only, before a new customer can be saved.

Designable touch till Optional #

Lay out the touch screen my way

Touch Screen layout, look and button actions are defined in a Touch Screen Designer, including park and recall buttons and an on-screen numeric pad for clerk passwords.

Dial backup failover Optional #

Keep taking cards when internet drops

A dial bridge can be nominated by IP address so that if internet processing fails the system automatically falls back to the primary host, then the backup, then a modem-equipped station.

Discount items and early payment terms Optional #

See what your discounts really cost

A special discount item placed under a line discounts it and posts the discount to its own category income account, which suits staff discounts and promotions that need to be visible separately. Early payment discounts run on three formulas — within so many days, by a day of the month, or by a day of the next month — are set per customer and print on invoices and statements.

Drawer Types and Program Triggers Optional #

Use whatever cash drawer I already own

Supports serial, parallel and printer-driven drawers, including a COM kicker for A4 receipt printers with no drawer circuitry, and can run an external program on the open signal with the drawer code passed as a parameter for USB HID drawers. An optional drawer-open sound is set per terminal.

Driver Licence Swipe Account Creation Optional #

Create a customer from a licence swipe

Swiping a driver licence on a keyboard wedge reader recalls the customer or prompts to create an account, filling in name, address and date of birth from the licence and using the licence number as the account number.

Embedded price and weight barcodes Optional #

Ring weighed goods straight from the label

Scale-printed barcodes carrying price or weight are decoded at the till, including 13-digit EAN codes beginning 02 and 12-digit UPC codes beginning 2, with a configurable price check-digit policy, plus Code128 RW and RP barcodes carrying part number with weight or price.

EMV Contactless Compliance Readiness Optional #

Avoid card brand penalties on contactless

A Contactless Support indicator shows whether the connected pinpad is running in the older magnetic stripe mode or in encrypted EMV mode, which matters because card brands penalise merchants still accepting the stripe method.

EMV PIN Pad Device Support Optional #

Take chip and tap payments at the till

Point of sale works with certified EMV payment terminals including Ingenico 6550 and 6780, Ingenico iSC 250, Equinox L5300 and VeriFone mx915, connected by serial, USB or TCP/IP, plus Topaz signature tablets.

End-of-invoice promotion checking Optional #

Apply offers when the sale is tendered

An option checks for qualifying promotions only when the sale is tendered rather than as each item is added to the invoice.

End-to-End Encrypted Card Entry Optional #

Keep card numbers off the workstation

With Worldpay IP the card is read only by an encrypted pinpad and the data is encrypted from the device onward, so card numbers are never keyed into the workstation.

Estimate Closing Report Optional #

Know which quotes will actually land

Lists estimates by estimated closing date with a confidence percentage and a weighted total (total multiplied by confidence), plus a weekly summary of count, total and average confidence. Closing date, confidence and sub-type are edited inline, and a closing date can be typed as +7 for seven days out.

Food stamp and EBT handling Optional #

Take EBT without breaking the rules

Invoices can show a food stamps total built from items flagged as food-stamp eligible, with ineligible lines highlighted, and the tender is capped at the eligible total or the balance due, whichever is lower. Taxable food items can be made non-taxable when paid with food stamps.

Four-Digit Phone Recall Optional #

Find a regular by their phone number

A customer is identified at the counter by the last four digits of their phone number, by name or business name, by a Find Customer search, or created on the spot from the sale.

Free-Form Invoice Columns Optional #

Capture job details on the invoice line

Extra user-defined columns can be added to the invoice line grid to capture details such as colour, code or room. Headers are renamed to the business's own wording and each column can offer a predefined key and value list to pick from. Entered values follow through to customer purchase history, the recent purchases tab and printed invoices.

Fuel sales by pump dollars Optional #

Ring up fuel by the dollar amount

A clerk enters the dollar value from the pump and the system back-calculates the litres or gallons, using a fuel inventory type and typically three retail decimal places. Discounts on fuel are handled as line discounts or through a kit rather than by price schedule, so the quantity maths stays correct.

Gift Card Migration to a New Dataset Optional #

Carry gift card balances to a new system

Outstanding gift card balances can be carried across when a business moves to a new System Five dataset.

Integrated card processing options Optional #

Take card payments without a separate terminal

Card authorisation runs through supported processors including Mercury Payment Systems, Quest EftPOS and WebAuthorize, so a card swiped at the workstation is authorised without rekeying into a separate terminal, and multiple stations can share one payment server. Keyboard wedge readers are supported, cards without track 1 can be allowed to swipe, and card numbers on printouts can be masked to suit local anti-fraud legislation.

Integrated credit and debit authorisation Optional #

Take card payments straight on the invoice

Cards are swiped anywhere on an invoice or tendered from the payment screen, authorised over the internet in about two to three seconds, and the approval, authorisation code and reference are written back onto the sale.

Integrated Debit PIN Pad Processing Optional #

Run debit through the till, not a terminal

PIN pads are configured against a merchant ID and processor account so debit and PIN transactions run through the till rather than a separate card terminal. Certified processors named include Moneris, Global Payments, Paymentech and Mercury Payment Systems, covering both Canadian and US debit.

Integrated gift card issue and reload Optional #

Sell and top up gift cards

Gift cards are sold as an inventory item in a dedicated gift card category, activated on the invoice with an entered card number and overridable amount, and topped up later with a reload action; the item posts to a liability ledger account rather than income.

Integrated Scale Support Optional #

Sell goods by weight at the till

Predefined settings for Weightronix, Weightronix-2, CAS AP, Avery and OPOS scales, plus a Prompt mode that opens a weight entry dialog at stations with no scale attached so weighed items can still be sold.

Invoice Comments in Search Results Optional #

Read invoice notes while you search

A setting makes the invoice information comment visible as a column on the Find Invoice screen, so notes on a transaction can be read while searching instead of opening each invoice.

Invoice discount policy Optional #

Discount a whole job without losing margin

A whole-invoice discount can be applied to the subtotal or spread across each line at the exact percentage, with the number of decimals shown under your control. An apply-margin command repricing every parts line to a target margin is available to those who enable it, and does not touch labour, ledger-code lines or shop supplies.

Invoice numbering methods Optional #

Carry your invoice numbers over at go-live

Invoice numbers can be assigned automatically when the invoice is completed, or recorded rather than printed for businesses using pre-printed numbered stationery. Next invoice and next slip numbers are seeded at go-live so numbering continues from the old system, and purchase orders have their own auto-numbering with a last-used number.

Invoice Subtypes Optional #

Track where each order has got to

Subtypes add a second classification layer beneath the main invoice type so invoices can be grouped and tracked by business stage, such as unwalked, quoted, ordered or received.

Issue on the invoice Optional #

Sell a gift card at the counter

Cards and certificates are issued as a line item on a cash or A/R invoice, with a default amount pulled from the inventory item that the clerk can change, and the physical card number entered or scanned. Estimates and work orders cannot issue cards.

Keyboard Wedge and USB Card Readers Optional #

Swipe cards with the reader you have

Track one and track two keyboard-wedge readers and MSR-equipped keyboards from named manufacturers are supported over standard, PS2 and USB connections, with documented track and terminator settings; serial readers work through the device manager.

Keyboard Wedge Intercept Optional #

Keep scanning while a prompt is open

Wedge scanners work with no device setup, and an optional intercept program buffers barcodes prefixed with Ctrl-B so scanning still registers while dialog boxes such as Upsell are open or focus has moved to another program.

Launch External Apps from POS Optional #

Open another program without leaving the till

Configure a button or keyboard shortcut on the Quick Sale screen that opens any Windows application, so clerks reach a third-party tool without leaving the till.

Line consolidation and layers Optional #

Show a job as one line, not twenty

Repeated scans of the same item can be left alone, consolidated only when added sequentially, consolidated on prompt, or always consolidated, with exceptions. Layers group several parts and labour lines under one heading created on the fly — a muffler install shown as one line — which can be left collapsed or expanded to show the components.

Line-Level Profit Panel Optional #

See the margin before you finish the sale

A profit panel on each invoice line shows and lets a user alter the profitability of that item before the sale is finished.

Line-level purchase history and re-order Optional #

Reorder exactly what they bought before

Every line the customer has ever bought is listed newest first, filterable by date, with attached comments such as a paint colour formulation; selected lines can be pushed straight onto a new or an open invoice.

Linked and Copyable Modifier Sets Optional #

Set up option lists once, reuse everywhere

Items sharing the same option set can be linked so one edit updates them all, and an existing item's modifier configuration can be copied and appended onto other items.

Live promotion application Optional #

Apply the offer automatically at the till

Promotions, points, discounts and special price schedules attach dynamically as qualifying items are added, and coupons are stripped or reduced automatically if the qualifying item is removed or its quantity cut before the sale is saved.

Magnetic stripe validation and fraud checks Optional #

Spot a forged card at the till

Track 1 and track 2 are read and cross-checked: missing mandatory track 2, mismatched card number or expiry date between tracks, a missing cardholder name, or a failed check digit are each reported distinctly, flagging swipe faults and forged cards.

Merge Duplicate Customer Accounts Optional #

Clean up duplicate customer accounts

Combines two customer records into one, moving invoices, payments and other transactions onto the surviving account. The merge is permanent, so it is run against a verified backup.

Modifier Selection Rules Optional #

Sell items with options without mistakes

Six selection rule types control how options behave — mandatory single choice, optional multiple choice, production parts, and options that print as comments rather than as separate invoice lines.

Multi-Processor Card Support Optional #

Use the card processor you already have

Supported processors include Worldpay IP for the United States and Global Payments, Moneris and Worldpay for Canada, each with its own entry method and hardware.

Multi-processor gateway support Optional #

Use the card processor we already have

A single payment interface reaches a published list of North American, Canadian and Australian acquirers and gateways, each with its own supported tender set covering credit, debit, gift, cheque verification and EBT.

Multi-select part picking Optional #

Build a big order in one pass

Results from several different searches can be accumulated, reviewed and pushed as a batch onto an invoice or purchase order, with selected lines highlighted and removable.

Name, title and address standards Optional #

Keep the customer list clean and usable

Customer titles are maintained as a list, name print order and business-name mapping are configurable, address fields can be extended to three lines of up to 50 characters, and text can be forced to proper case as it is typed. A unique email address can be required per account, which also blocks duplicate accounts being exported to an ecommerce site.

National parent and subsidiary accounts Optional #

Bill the branch, chase the head office

Customer accounts can be linked as head office and subsidiaries, with a subsidiary able to have its own subsidiary. Invoices are normally raised to the subsidiary while statements and payments go to the parent, credit limits are checked at both levels, and aged receivables can be reported with subsidiaries grouped under head office or listed individually.

Offline capture and phone authorisation Optional #

Record a phone-approved card sale

Transactions authorised by phone can be added to the batch with their authorisation number, and payments already run manually on the processor's own terminal can be recorded against the invoice without re-authorising.

Offline Transaction Limits Optional #

Cap the risk of offline card sales

The merchant and processor set a maximum number of stored offline transactions and a maximum dollar value per transaction. Transactions carrying a phone authorization number are exempt from those limits.

OPOS Coin Dispenser Optional #

Dispense exact coin change automatically

Automatic coin change dispensing gated by the same security as opening the cash drawer, with a smallest-bill setting that controls how much of the change goes to coin, and the change posted to the Point of Sale Transaction file.

OPOS Standards Support Optional #

Use standard till hardware from any vendor

Devices that ship OPOS drivers are configured in their own vendor utility and then selected in System Five by profile identity, as with the Metrologic MS2020 Stratos combined scale and scanner, with built-in debug output to confirm the device is open and reading.

Outstanding order processing Optional #

Ship and bill today's orders in one run

Open work orders are filtered by date range and shippable status, then converted in bulk to receivable invoices with card authorisation, invoice and shipping label printing, customer emailing, and cancellation of declined or selected orders with or without a notification email.

Parcel shipping from the invoice Optional #

Ship a parcel straight from the invoice

Invoice details are handed to the ShipRush shipping application for FedEx, UPS, USPS or DHL directly from the invoice, with the invoice closing while the shipment is completed and reopening afterwards.

Partial balance tender Optional #

Split payment when the card runs short

A Gift Bal function returns whichever is smaller — the card's available balance or the invoice balance owing — so the clerk tenders only what the card actually holds and settles the remainder with another tender type, avoiding declined authorisations.

Pay Multiple Layaways at Once Optional #

Settle several layaways in one payment

The outstanding-invoice tab lists a customer's open layaway and work order invoices, and a Pay column lets the clerk split one tendered amount across several of them.

People and action barcodes Optional #

Start a sale or job with one scan

Barcodes can start a sale for a given clerk or customer, open a quick cash sale, assign a salesperson to a line, or assign a mechanic to a line and start the job timer.

PIN debit with cash back Optional #

Give cash back on debit sales

Debit transactions run through a PIN pad, with an optional cash back amount permitted only on debit and only on cash invoices, never on receipts against account, and controlled by a setup permission.

PIN pad key and sequence management Optional #

Get the PIN pad talking to the bank

Staff can run a PIN pad key change from the menu when the bank needs to resynchronise encryption keys, on first install, after moving a pad between machines or after a power cut mid-transaction, and can reset the transaction sequence number that the pad and the processor must keep in step.

Pole Display Protocol Coverage Optional #

Show customers the price as it rings

Ten supported display modes covering Logic Controls standard and no pass thru, EMACS AEDEX, dumb terminal, Partner Tech CD7220 in AEDEX, 5220-II and DSP-800 modes, DSP-800, OPOS and Senor VFD and WD202, with configurable characters per line and optional currency symbol.

POS Device Manager Optional #

Get till hardware working and staying working

WindwardPOS.exe runs in the system tray alongside System Five and centralises configuration of pole displays, cash drawers, COM port barcode scanners, COM port magnetic stripe readers, scales and OPOS scales and scanners, with per-device debug, test and reset tools.

Positioned Barcode On Slip Forms Optional #

Put the receipt barcode where you want it

The receipt barcode is placed through slip printer setup, and can sit in the header, body or footer of the slip form with left, centre or right alignment.

Price floors, ceilings and quantity breaks Optional #

Stop staff selling below your floor

A default customer level, a cash schedule for walk-in sales, a list schedule and a minimum schedule that blocks selling below a floor are all nominated. Selling above list can be prevented outright, everything can be forced onto sale price regardless of sale dates, and price schedules can be attached to quantity breaks so buying ten drops the customer a level.

Processor Hosted Gift Cards Optional #

Sell gift cards that work at every store

Gift card numbers and balances are held on the payment processor's servers and authorised like a card transaction. An alternative to the native card system for merchants who would rather the processor carry the float and the liability.

Quantity Multiplier Entry Optional #

Ring ten of the same thing once

At the quick cash sale screen the cashier types a quantity followed by an asterisk before entering the item, and that quantity is applied in a single entry instead of scanning repeatedly.

Quoted versus Billed Optional #

See when jobs run over the quote

Compares the billed total on a work order or invoice against the estimate it was created from, showing the difference in green when under quote and red when over. Estimates are linked by duplicating or importing them onto the work order, and a Bill as Quoted option discounts the job back to the quoted figure.

Sales warning and upsell prompts Optional #

Prompt the clerk to add the extra

A formatted comment can pop up on screen when the item is added to an invoice or opened for editing, used to warn or prompt an upsell, with display controlled by setup so customer-facing screens can be considered.

Scan versus keyed matching Optional #

Scan or type and still find it

A scanned barcode is treated as a complete part number and drops straight onto the sale, while a typed number is treated as a partial match and opens Part Find with the near matches.

Scannable Invoice Barcode On Receipts Optional #

Scan a receipt to pull up the sale

Thermal slip receipts can print a Code 39 barcode of the invoice's unique database reference with human-readable text beneath it, so scanning the customer's receipt recalls the original sale.

Second Monitor Customer Display Optional #

Let the customer see what is being rung

With a second video card the till mirrors line detail to a customer-facing monitor, including item pictures with a configurable default image for items that have none.

Selectable Invoice Numbering Modes Optional #

Decide when an invoice gets its number

Invoice numbers can be assigned at print, on exit from the invoice, or at the moment the invoice is created, or left for manual entry, depending on the numbering mode chosen.

Self-Configuring Barcode Scanner Setup Optional #

Get any scanner working in minutes

Scanning any barcode into the setup page captures the scanner's pre-amble and value automatically, and tested keyboard-wedge and serial models are documented with their programming sheets.

Server-free enterprise host option Optional #

Take cards without a payment server

Some certified processors run the payment server at the enterprise level, so the merchant does not have to buy, install and maintain an on-site payment server; transactions go straight over the internet.

Special Orders Report Optional #

Track special orders from order to pickup

Lists outstanding special orders by lifecycle stage: waiting to be put on a PO, waiting to be ordered, ordered but not arrived, and arrived but not invoiced, filtered by customer, supplier or item and by department.

Split and mixed tenders Optional #

Take payment across several tenders at once

A sale can be settled across cash, debit, cheque, gift certificate and multiple card types, with a double-click or single keystroke filling the exact or remaining amount on a row.

Split and per-line commission Optional #

Split commission fairly between staff

Up to three salespeople can share one sale with percentages totalling 100, commission can be set per invoice line by keystroke or scanned salesperson barcode, and the whole sale can be flagged non-commissionable.

Split billing to a health provider Optional #

Split the bill with the health provider

Charges on a transaction are split between the customer and a health provider, using authorisations checked per item and per category, with authorisations added on the fly at the counter and a batch number recorded once the invoice is split.

Split customer and merchant receipt printers Optional #

Hand the customer their slip straight away

Merchant and customer card receipts can print on two different printers with their own font and A4 positioning, so the customer copy prints as soon as the transaction is authorised rather than with the invoice.

Standing and forced purchase orders Optional #

Get a PO number on every job

A customer can be set to require a PO number on every sale, or issue a standing PO with a number, expiry date and maximum value that is applied automatically to new invoices until it is used up.

Store and Forward Card Processing Optional #

Keep taking cards when the internet drops

When the connection to the payment processor drops, card transactions are captured locally and submitted for authorization once connectivity returns, so the counter keeps taking payments. Transactions are unauthorized until forwarded and the merchant carries the risk of later declines.

Stored Card Tokens for Recurring Charges Optional #

Charge a regular customer without the card

Worldpay IP and Global Payments Canada return a token that stands in for the card, letting the system charge a customer again later without holding the card number.

Supplier Name on Sales Grids Optional #

See who supplies each line while selling

Adds a supplier column to the POS invoice grid and the Customer Purchases grid so staff can see which vendor supplies each ordered line without a separate lookup. Works on Work Order, Accounts Receivable and Cash invoices.

Swipe or scan redemption anywhere on the invoice Optional #

Take a gift card as payment

The card can be swiped on a magnetic stripe reader or its barcode scanned at any point on the invoice, and is then authorised against the amount owing like a credit card.

System Five Gift Cards Optional #

Sell and redeem gift cards in house

A native gift card program issued and redeemed inside System Five, without a third-party gift processor. On Cloud every location works from one dataset, so a card issued at one store is redeemable at any other with no settlement step in between.

Take Payment on Layaway Optional #

Take a payment against a layaway

A "Take payment on layaway" action on the Quick Cash and Quick Sale screens opens a received-on-account (R type) invoice so a customer can pay down an existing layaway.

Tap to Pay at the Counter Optional #

Let customers tap to pay

Customers pay by tapping a card or phone on the pinpad instead of inserting it, using either magnetic stripe data or the encrypted chip message.

Tender type and processor setup Optional #

Set up the tenders we accept

Payment tenders are defined by letter and description, then mapped to the processor's capabilities across sub-tabs for credit and debit, gift, cheque verification, batches, receipts and benefits, with ports and server addresses only changed when the processor tells you to.

Three counter interfaces Optional #

Match the till screen to how staff work

The same transaction engine is driven by a full Regular interface, a scanner-driven Quick Sale interface, and a configurable Touch Screen interface. Each is reached by keyboard shortcut and Quick Sale can be hidden per site.

Tire quick quote Optional #

Quote a set of tyres fitted fast

A tire quote takes a part number, defaults the quantity to four and automatically adds valve stems, balancing, installation and shop supplies as configured, then prints, keeps or sells the job.

Tokenized EMV on the Verifone P400 Optional #

Run tokenized chip payments on supported pinpads

Global Payments Canada is supported through the Verifone P400 pinpad using tokenized EMV, with Ingenico devices supported on other processors.

Tracking details written back to the invoice Optional #

Tell the customer where their parcel is

Once shipped, the carrier, shipping method, tracking number, date of shipment, shipping charge, weight and the package tracking URL are written back onto the invoice comments and can be emailed to the customer as HTML or PDF.

Transaction batches and shifts Optional #

Balance the till at the end of a shift

Point of sale transaction reporting can be organised into batches or shifts, and the receivables transaction file can be closed automatically at the end of the day, per terminal, on the first transaction of the following date.

Twenty-Six Foreign Tender Currencies Optional #

Take payment in the currencies you see

Up to 26 currencies can be defined with a separate invoice selling rate and purchase order buying rate; setting a selling rate to zero hides that currency from the tender window.

Unit-of-measure and pack pricing Optional #

Sell singles and packs from one barcode

Price quantities let an item be priced per pack — six for 99 cents, or 500 units for five dollars — with the per-unit price derived when a smaller quantity is sold. A shared barcode across pack sizes is resolved by a default pack size list, and touch screen pack-size buttons let a clerk ring a single, a four-pack, a six-pack or a twelve-pack from the same scan.

Voiding with security control Optional #

Void a card without losing control

A card is voided from the same invoice that issued it by deleting the line, which raises a void dialog and returns a void authorisation number. A card that has been used cannot be voided until its individual transactions are voided first, and clerks without the right security permission cannot void at all.

Work order stealing Optional #

Move stock to whoever needs it first

When stock is committed to another work order, the clerk can reallocate it, seeing the other customer, invoice date, delivery date, quantity available, quantity already taken and the item's order days before deciding. The donor order is back ordered.

Work Orders, Layaways and Deposits Optional #

Take a deposit and hold the goods

Counter staff record work orders, layaways, deposits and customer special orders, with deposits and payments on account flowing into the same end-of-day reconciliation as cash sales.

WorldPay and Moneris EMV Terminals Optional #

Use certified terminals for offline sales

Store and forward is supported on WorldPay IP EMV with the Ingenico L5300, iSC250 and P400 terminals, and on Moneris with the POSPad iPP320 or P400, with an operator-selectable online or offline mode and an automatic mode on Moneris.

Common questions

Does System Five help you give each customer their agreed price?

Yes. Price schedules, schedule exceptions and contract prices attached to the customer are applied automatically as items are added, with manual override still permitted and a per-item minimum price acting as the floor. This is optional in System Five.

Does System Five help you take cheques without getting burned?

Yes. Cheques are validated against national cheque databases in under three seconds at the point of sale, backed by a recovery programme that reimburses the merchant the full face value of every cheque collected, charges the merchant no monthly fee, and pursues writers through skip tracing and electronic re-presentment. This is optional in System Five.

Does System Five help you lay out the touch screen my way?

Yes. Touch Screen layout, look and button actions are defined in a Touch Screen Designer, including park and recall buttons and an on-screen numeric pad for clerk passwords. This is optional in System Five.

Does System Five help you ring weighed goods straight from the label?

Yes. Scale-printed barcodes carrying price or weight are decoded at the till, including 13-digit EAN codes beginning 02 and 12-digit UPC codes beginning 2, with a configurable price check-digit policy, plus Code128 RW and RP barcodes carrying part number with weight or price. This is optional in System Five.

Does System Five help you take chip and tap payments at the till?

Yes. Point of sale works with certified EMV payment terminals including Ingenico 6550 and 6780, Ingenico iSC 250, Equinox L5300 and VeriFone mx915, connected by serial, USB or TCP/IP, plus Topaz signature tablets. This is optional in System Five.

Does System Five help you take EBT without breaking the rules?

Yes. Invoices can show a food stamps total built from items flagged as food-stamp eligible, with ineligible lines highlighted, and the tender is capped at the eligible total or the balance due, whichever is lower. Taxable food items can be made non-taxable when paid with food stamps. This is optional in System Five.
